Item Alternative

Item Alternatives allow you to define substitute items that can be used when the original item is out of stock. This helps maintain customer satisfaction by offering replacements without delaying orders.

Setting Up Item Alternatives

  1. Open the Item you want to define alternatives for.
  2. Scroll to the Item Alternative section (or go to Stock > Item Alternative).
  3. Add alternative items in the table:

- Alternative Item: The substitute item code

- Alternative Warehouse: (optional) The specific warehouse for the alternative

  1. Click Save.

How It Works

When an item is out of stock:

  1. During order entry, the system shows a notification that stock is low.
  2. The salesperson can see suggested alternatives.
  3. They can substitute the alternative item in the transaction.
  4. The system updates pricing based on the alternative item.

Two-Way Alternative

If Item A is an alternative to Item B, it's recommended to also define Item B as an alternative to Item A (two-way). This creates a flexible substitution network.

Best Practices

  • Only define alternatives that are genuine replacements (similar quality, function, price).
  • Keep the alternative list current — remove items that are discontinued.
  • Consider price differences when suggesting alternatives.
  • Define alternatives for high-demand items that frequently go out of stock.
