Company Setup

A company is a legal entity made up of an association of people for carrying on a commercial or industrial enterprise.

In YousrERP, the first Company is created when your account is set up. For each Company, you can set the domain as manufacturing, retail, or services depending on your business activity.

How to Create a New Company

  1. Go to the Company list, click on New.
  2. Enter the name, abbreviation, and default currency for the company.
  3. Click Save.

The abbreviation is created automatically from your company name (e.g., YS for YousrERP Solutions). The abbreviation helps differentiate assets of one company from another and appears in accounts, cost centers, tax templates, and warehouses.

You can also attach a company logo and add a description.

Multi-Company Structure

If you run a group of companies, YousrERP supports multiple companies with the following structures:

  • Parallel β€” Sister companies operating independently
  • Parent-Child β€” A larger organization with subsidiaries
  • Combination β€” A mix of both structures

A parent company is a larger organization consisting of one or more child companies. A child company is a subsidiary.

Once you build a company tree, YousrERP validates that accounts of child companies match the parent company's accounts. All accounts can be combined in a consolidated chart of accounts statement.

Options When Creating a Company

  • Domain: The type of business (manufacturing, services, retail, etc.)
  • Is Group: If checked, this becomes a parent company
  • Parent Company: If this is a child company, select the parent company

Chart of Accounts

For each Company, the master Chart of Accounts is maintained separately. This allows separate accounting for each company as per legal requirements.

Chart of Accounts Selection

YousrERP provides a localized Chart of Accounts for Saudi Arabia. When creating a new Company, you can choose from:

  • Standard Chart of Accounts β€” Pre-configured for Saudi businesses
  • Based on Existing Company's Chart of Accounts β€” Copy from another company

If a Parent Company is selected, the Chart of Accounts will be created based on the existing Parent Company.

Within the Company master, you can set default values for accounts and other masters:

  • Default Letter Head
  • Default Holiday List
  • Standard Working Hours
  • Default Terms and Conditions
  • Country (Saudi Arabia)
  • Tax ID (VAT Registration Number)
  • Date of Establishment

Company Information

For reference, you can save these details:

  • Date of Incorporation
  • Phone, Fax, Email, Website
  • Company Address
  • Registration Details (Tax numbers, commercial registration, etc.)

Important: When setting your company address, make sure to tick the 'Is Your Company Address' checkbox.

Deleting Company Transactions

You can delete all transactions (Orders, Invoices) of a Company. Use with caution β€” transactions once deleted cannot be recovered.

Requirements:

  • You must be a System Manager
  • You must be the creator of the Company

This will delete Sales/Purchase Orders, Invoices, Receipts, Notes, and reset naming series. Master data like Items, Accounts, Employees, etc. will remain.
