Purchase Order
A Purchase Order (PO) is a formal document issued to a supplier to order goods or services. It specifies what you want to buy, the quantity, the price, and the delivery date.

Creating a Purchase Order
- Go to Buying > Purchase Order and click New.
- Select the Supplier.
- Set the Transaction Date and the Required By date.
- Add items in the Items table:
- Select or create the Item Code
- Enter the Quantity
- Enter the Rate (unit price)
- The Amount is calculated automatically
- Add taxes and charges if applicable.
- Enter Payment Terms if different from the supplier default.
- Click Save and Submit.
Purchase Order Status

| Draft | Order is being prepared, not yet sent |
| On Hold | Order is paused/pending approval |
| To Receive | Submitted and awaiting delivery |
| To Bill | Goods received but not yet invoiced |
| To Receive and Bill | Partially received and partially billed |
| Completed | All items received and billed |
| Cancelled | Order cancelled |
| Closed | Order closed (manually) |
Creating from Other Documents
Purchase Orders can be created from:
- Material Request: When stock runs low and procurement is needed
- Supplier Quotation: After comparing quotations and selecting a supplier
- Blanket Order: Against a long-term supply agreement
- Sales Order: For drop-shipping directly to customers
Key Features
- Item-wise Delivery Schedule: Set different delivery dates for different items
- Multiple Warehouses: Receive items into different warehouses
- Price List: Automatically fetch agreed pricing
- Amend After Submit: Create amended versions of submitted POs
- Close: Close POs that will not be fully delivered
- Auto-create Purchase Receipt or Invoice: Generate downstream documents
Amending After Submit
If you need to change a submitted PO:
- Open the submitted Purchase Order.
- Click Amend (creates a new amended version).
- Make the changes.
- Save and Submit.
