Serial No
Serial Number tracking allows you to track individual units of an item through their entire lifecycle. Each unit has a unique serial number for identification and traceability.
When to Use Serial Numbers
- Electronics (each device has a unique serial)
- Appliances and machinery
- Warranty-tracking items
- High-value assets
- Medical devices
- Items requiring individual traceability
Setting Up Serial Number Tracking
- Open an Item and check Has Serial No.
- Optionally set Serial No Series for auto-generation.
- Save the item.
Serial Number Lifecycle

Managing Serial Numbers
In Purchase
- Enter serial numbers manually or auto-generate them during Purchase Receipt.
- Each unit in the received quantity must have a unique serial number.
In Sales/Delivery
- Select which serial numbers are being shipped.
- The system ensures serial numbers exist in stock before shipment.
Serial No Master
Each serial number has its own record with:
- Serial No: The unique identifier
- Item Code: The product
- Status: Active, Delivered, Inactive, Expired
- Purchase Date, Warranty Expiry Date
- Current Warehouse: Where the serial is located
- Delivery Note / Sales Invoice: Where it was sold
Serial Number Reports
- Serial No Status: Current status of all serial numbers
- Serial No Ledger: Full movement history of a serial
- Warranty Expiry: Serials approaching warranty expiration
