Retain Sample Stock
Retain Sample Stock is used in quality-controlled industries (pharmaceuticals, food, chemicals) where a sample from each batch must be retained for a specified period for testing and regulatory compliance.
Setting Up Retain Sample
- Ensure the item has Has Batch No enabled.
- Go to the batch or stock entry where the batch is received.
- Use the Retain Sample option to specify:
- Sample Quantity: How many units to retain
- Retain Warehouse: Where samples are stored
- Retention Period: How long to keep samples
- The retained quantity is separated from available stock.
Why Retain Samples?
- Regulatory Compliance: Required by SFDA (Saudi Food and Drug Authority) for pharmaceuticals, food products.
- Quality Assurance: Retained samples can be tested if quality issues arise later.
- Customer Complaints: Compare retained samples with returned products.
- Stability Testing: Monitor product quality over time.
Managing Retained Samples
- Retained samples are tracked separately from regular stock.
- When the retention period expires, samples can be released back to stock or destroyed.
- Reports show which batches have retained samples and their expiry dates.
