Email Account

Email Account configuration allows YousrERP to send emails directly from the system — such as sending quotations to customers, purchase orders to suppliers, or system notifications.

Configuring an Email Account

  1. Go to Settings > Email Account and click New.
  2. Enter the Email Address and Email Account Name.
  3. Provide the SMTP Server and Port for outgoing mail.
  4. Enter the IMAP/POP3 Server and Port for incoming mail (optional).
  5. Check Enable Outgoing to allow sending emails.
  6. Check Enable Incoming to allow receiving emails into the system.
  7. Enter your email Login ID and Password.
  8. Click Save.

Common Email Provider Settings

Gmail / Google Workspace

  • SMTP Server: smtp.gmail.com, Port: 587
  • IMAP Server: imap.gmail.com, Port: 993
  • Requires App Password (not your regular password)

Microsoft 365 / Outlook

  • SMTP Server: smtp.office365.com, Port: 587
  • IMAP Server: outlook.office365.com, Port: 993

Custom Business Email

Use the SMTP settings provided by your email hosting provider.

Email Signature

You can set a default Email Signature that is appended to all outgoing emails. This typically includes:

  • Your name and position
  • Company name
  • Phone number
  • Website

Default Email Account

Set one email account as Default Outgoing and Default Incoming so YousrERP knows which account to use for automated communications.

Sending Emails from Documents

Once configured, you can send emails directly from:

  • Sales Orders / Quotations: Email to customers
  • Purchase Orders: Email to suppliers
  • Invoices: Email invoices to customers
  • Payment Requests: Send payment reminders
