Users & Permissions
YousrERP has a role-based permission system that controls what each user can see and do. You assign Roles to Users, and Permissions to Roles. This ensures sensitive financial data is only accessible to authorized personnel.
Key Concepts
- User: An individual who can log in to YousrERP.
- Role: A set of permissions (e.g., Accounts Manager, Sales User, HR User).
- Document Type: Each type of record (Sales Invoice, Purchase Order, Item, etc.) has its own permission rules.
- Permission Level: Fields can be grouped into levels (0-9) with different access rules per level.
- Document Stages: Permissions apply to each stage — Create, Save, Submit, Cancel, Amend.
Permission Types

| Select | Search and see records in dropdowns, but cannot open them |
| Read | View documents without editing |
| Write | Edit existing records the user has access to |
| Create | Create new documents |
| Delete | Delete documents |
| Submit | Submit documents for final approval |
| Cancel | Cancel submitted documents |
| Amend | Create amended versions of submitted documents |
| Print or download PDF of documents | |
| Send emails from documents | |
| Report | Access reports related to the document type |
| Export | Export data from list views |
| Import | Import data to the document type |
| Share | Share document access with other users |
Setting Up Permissions
- Go to Users and Permissions > Role Permissions Manager.
- Select a Document Type and a Role.
- Set the desired permissions for that role.
- Click Add a New Rule to add more role-permission combinations.
- Use Permission Levels to restrict access to specific fields.
User Permissions
Beyond role permissions, you can restrict individual users to specific records. For example, a salesperson can only see their own customers or territory.
