Purchase Receipt

A Purchase Receipt records the physical receipt of goods from a supplier. It confirms that items ordered have been delivered and updates inventory levels.

Creating a Purchase Receipt

  1. Go to Buying > Purchase Receipt and click New.
  2. Select the Supplier.
  3. Set the Posting Date (date goods were received).
  4. Add items received:

- Item Code, Quantity Received, Warehouse

- Rate (unit cost for valuation)

  1. Click Save and Submit.

Creating from Purchase Order

The most common way to create a Purchase Receipt:

  1. Open the submitted Purchase Order.
  2. Click Create > Purchase Receipt.
  3. Items and quantities from the PO are pre-filled.
  4. Adjust the Received Quantity if partial delivery.
  5. Submit.

Purchase Receipt vs. Purchase Invoice

  • Purchase Receipt: Records goods received (affects inventory). Used when goods arrive before the invoice.
  • Purchase Invoice: Records the financial liability (affects accounts). Used when the invoice arrives.

If goods AND the invoice arrive together, you can create the Purchase Invoice directly (which also updates inventory).

Accounting Impact

A Purchase Receipt posts:

  • Debit: Stock/Inventory Account (increases stock value)
  • Credit: Stock Received But Not Billed (temporary liability until invoice)

When the Purchase Invoice is later created against the receipt:

  • The Stock Received But Not Billed account is cleared
  • Accounts Payable is credited instead

Quality Inspection

If Quality Inspection is required for the items:

  1. The Purchase Receipt may be in Draft pending inspection.
  2. Complete the Quality Inspection.
  3. Accept or reject based on inspection results.
  4. Submit the Purchase Receipt for accepted quantities.
