Purchase Invoice

A Purchase Invoice is the bill you receive from a supplier for goods or services purchased. It records the amount you owe and serves as the basis for making payment.

Creating a Purchase Invoice

  1. Go to Buying > Purchase Invoice and click New.
  2. Select the Supplier.
  3. Set the Posting Date and Due Date.
  4. Enter the Supplier Invoice Number (from the supplier's bill).
  5. Add items or services received:

- Item Code, Quantity, Rate

  1. Add Taxes and Charges (VAT) if applicable.
  2. Click Save and Submit.

Types of Purchase Invoices

Type Description
Regular Standard purchase invoice for goods/services
Landed Cost Includes freight, customs, insurance costs
Subcontracting Payment for outsourced manufacturing
Debit Note Return to supplier / credit from supplier

Creating from Purchase Order or Receipt

Purchase Invoices can be created from:

  1. Purchase Order: Click Create > Purchase Invoice from the PO.
  2. Purchase Receipt: Click Create > Purchase Invoice from the receipt.

When created from a Purchase Order or Receipt, items and amounts are pre-filled.

Accounting Impact

A Purchase Invoice posts:

  • Debit: Expense Account / Stock Received But Not Billed (item cost)
  • Debit: VAT Input (if applicable)
  • Credit: Accounts Payable (amount owed to supplier)

Purchase Invoice Status

Status Description
Draft Not yet submitted
Submitted Posted to accounts, awaiting payment
Paid Fully paid
Partly Paid Partially paid
Overdue Past due date
Cancelled Invoice cancelled
