Batch

Batch tracking allows you to group and track items produced or received in the same batch/lot. This is essential for industries like food, pharmaceuticals, chemicals, and manufacturing where traceability is critical.

Setting Up Batch Tracking

1. Open an Item and check Has Batch No.
2. Configure batch settings:

- Create New Batch Automatically: Auto-generate batch numbers

- Batch Number Based On: How batch numbers are generated

- Batch Naming Series: The naming format (e.g., BATCH-.#####)

1. Save the item.

Batch Lifecycle

When batch-tracked items move through the system:

• Purchase Receipt: A new batch is created or an existing batch is selected.
• Stock Transfers: Batches are tracked across warehouses.
• Manufacturing: Raw material batches are consumed; finished goods get new batches.
• Sales/Delivery: Specific batches are picked and shipped.
• Returns: Returned items link back to their original batch.

Batch Information

Each batch stores:

• Batch ID: Unique batch number
• Item: The item this batch belongs to
• Manufacturing Date: When the batch was produced
• Expiry Date: Shelf life expiration date
• Supplier: If received from a supplier
• Quantity Available: Current stock of this batch
• Reference: Link to Purchase Receipt or Work Order

Batch Expiry Management

• Set Shelf Life (in days) on the Item master.
• The Expiry Date is calculated from Manufacturing Date + Shelf Life.
• YousrERP can send alerts before batches expire.
• FEFO (First Expiry First Out) picking: older batches are picked first.

Batch Reports

• Batch-wise Balance: Stock balance per batch
• Batch-wise Item Details: Full batch history
• Expired Batches: Batches past their expiry date
• Batch Traceability: Track a batch from receipt to delivery
