Data Import
The Data Import tool allows you to import large amounts of data into YousrERP from Excel spreadsheets or CSV files. This is especially useful during initial implementation when you need to bring in your existing master data.
How Data Import Works
- Go to Data Import from the main menu.
- Select the Document Type you want to import (e.g., Item, Customer, Supplier).
- Download the template β YousrERP provides Excel templates with the correct column structure.
- Fill in your data in the downloaded template.
- Upload the completed file.
- Review the preview and fix any errors.
- Click Import to start the import process.
What You Can Import
- Items: Product names, codes, groups, prices, warehouses
- Customers: Names, addresses, contacts, credit limits
- Suppliers: Names, addresses, payment terms
- Chart of Accounts: Account codes and names
- Employees: Employee records and details
- Opening Balances: Account and stock opening balances
Import Modes
- Insert: Adds new records only. Existing records are not updated.
- Update: Updates existing records. New records are not added.
- Insert and Update: Adds new records and updates existing ones (most common).
Handling Errors
During import, YousrERP validates each row. Rows with errors are skipped and listed in an error log. Common errors include:
- Missing required fields
- Duplicate values in unique fields
- Invalid data formats
- References to records that don't exist
Download the error log, fix the issues, and re-import the failed rows.
Best Practices
- Start small β Import 5-10 records first to verify your template.
- Use the template β Always download the Excel template from YousrERP.
- Check mappings β Ensure column headers match exactly.
- Backup β Take a system backup before large imports.
- Validate after import β Review imported data for accuracy.
